Event Planning Guide

Planning an event at UW-Oshkosh? Whether it’s a meeting, seminar, lecture, social event or conference, there are several key steps and resources to help you make your event a success.

What is considered an event?

An event includes any gathering scheduled in a UW-Oshkosh space—classrooms, conference rooms, Reeve Union rooms or outdoor areas. These may be reservable or not, and events typically involve some organized activity.

Step-By-Step Event Planning Process

  1. Review the Special Event Management Protocol
    Familiarize yourself with the policies and expectations for campus events.
  2. Choose a Location
    Select your desired campus space, such as a classroom, meeting room or outdoor area.
  3. Align with Event Protocol
    Make sure your event meets UW-Oshkosh’s special event criteria.
  4. Submit the Event Request Form
    Reserve your space officially through the online form.
  5. Identify Special Needs
    Plan for accessibility, AV needs and other logistical considerations.
  6. Arrange Catering (if applicable)
    See catering options below for on-campus services.
  7. Obtain Approval
    Your event must be approved before moving forward.
  8. Promote and Host Your Event
    Once approved, advertise and carry out your event successfully.

Support Services and Resources

Dining and Catering

Aladdin Catering at UW Oshkosh provides group dining options at Blackhawk Commons for camps and conferences. For groups of 100 or more, we offer an all-you-can-eat buffet for breakfast, lunch, and dinner.

In addition to group dining, Aladdin Catering also offers a variety of catering services for different types of events, including business meetings and formal dinners. Our catering team, led by Monica Cisler, can assist in selecting the right menu or creating a custom dining plan to meet your event’s needs.

Parking

Visitors who park on University property, including those with motorcycles or mopeds, are required to have a valid University parking permit. Visitor permits can be purchased online for the day or through the AMP Park mobile app for short-term parking. The AMP Park app is available for free download on both Apple and Google Play, or you can visit their website.

Equipment and Services

AV and equipment rental is available throughout campus meeting spaces.

Services provided include but are not limited to:

  • Professional conference services planning and coordination
  • Onsite event management assistance
  • Onsite catering and dining hall
  • AV support and technical services including livestream capabilities
  • Meeting room aids (flip charts, dry erase boards)
  • Access to document services to assist in printing needs
