At this point something is funny about the way data is carried around for proposals. I have copied all the proposals into an archiving folder inside the proposals folder. It no longer seems possible to access anything but the uploaded file and the review forms. These are only accessible through the links in the contents view of the folder things have been moved to. It appears that the way we are redirecting links does not work.

the issue with what can be seen was that copying completely screws up the state. Had to manually migrate all the proposals through each state to the archived state. Maybe we need a button that archives (copies to a new folder and makes sure the state changes correctly.).

Grants office policy
Records Retention - Student/Faculty Collaborative Research Programs
Funded Proposals - retain for 7 years after the closeout date.
Unfunded Proposals - retain for 3 years
We will need a hard copy of the funded proposals for our paper files. They should be able to print these from the site.

After doing things manually, here is a thought on how to do this. Can we have a rule that moves things to a private "Archive" folder upon state change to "Archive" if it is a proposal? Can we also do a last modification date clean-up that deletes things after 7 years without modification?

Discussion about using printed (pdf? paper) archiving not just for funded but also for unfunded proposals. Would simplify systems maintenance.

To allow searching the following fields should probably be maintained: primary faculty advisor, proposalApproved, title. The cover page could be exported exactly as it looks to the director in "edit" view except that the reviewer list should only show the chosen reviewers. The proposal should already be in pdf and should just be folded into the pdf. The review forms should appear as they do to the reviewer in "edit" view (in other words with complete descriptions for each item).
