...so we can know how long we are obligated to retain these internship objects, and when/how we should purge them (delete them) from the system. Joshua Ranger is the university archivist and he will need to know the official record set ID for the information this workflow app stores. See attached form (downloaded from http://www.uwosh.edu/archives/rdaforms/recordsinventory.pdf) which must be filled out (by Jessie) and returned to him. Once we have an official record set, Joshua can look up the applicable laws and policies.

Similar to the OIE site, the internship site will have tabs at the top of the page. Once clicked, these tabs will show the user (based on their roles) condition specific internships (only ones with this supervisor, only ones in this state, all internships, etc...).

If I remove the bread crumbs and the view tab, then I could make the only tab available to the supervisor, show the internships that pertain to their email. This would effectively deter supervisors from gaining access to the entire internship-applications folder, where they could see all internships in the pending supervisor approval state, denied by supervisor state, and approved state.

At the end of the semester, the internships will need to be stored, but they will also need some identifier that lets the student and internship director know that it is an old internship that is no longer active.

Some internships will be revoked during the course of the semester because the student may lie about a position, lose the position, lie about his/her supervisor, etc... These internships need to be placed in a revoked state for future reference.

Once the internships are denied by the supervisor, the student must make the corrections (if possible) to the internship before the supervisor will approve it. However, these changes could jeopardize the validity of the internship from the internship director. Once the internship is denied by the supervisor, the internship director would like to re-review the internship to make sure it is still valid.

This will create conflicts if the internship is sent back to the original states (pending college approval, denied by college, approved by college) because it will trigger emails to be sent to the student, supervisor, and internship director that they already received in the past.

In some circumstances it would be less of a hassle if a student's internship could go right to the approved state. In the event that a supervisor contacts the internship director over the phone and approves the internship; there is no need to make the student's internship go through the other states (while sending out the appropriate emails). If the internship director or another faculty member is the supervisor for a student, it is also cumbersome to make a student and supervisor go through all the other states (with the emails being sent) before the internship is approved.

A new supervisor account is created every time a student's internship is approved by the College of Business. These multiple accounts are going to create problems if one person is a supervisor for many students.

When a user wants to deny an internship, the process is multi-stepped and a little confusing.

Steps to help solve the confusion:

1.) Put instructions under the action buttons that explain to the user that clicking deny by " " without clicking on the internship review button first will not provide a reason the internship was denied to the student.

2.) Maybe make the internship review tab the only visible button first, and then show the deny by " " when a reason is selected.

3.) Maybe show a pop up message box that appears when the deny by " " button is clicked that explains to the supervisor/internship director that a reason has not been selected. Then show the steps to properly deny an internship.

Students, supervisors, and the internship director can view all the instructions on the view pages of every state except private. Please limit the instructions shown to the type of user that is logged in.

Steps to solve:

1.) Use TAL statements to only show instructions to those that have the permission "modify portal contents."

ALT 1.) Use TAL statements to only show instructions certain users in certain states.

Everyone can view the buttons (make changes, make inactive, submit, make active, deny, etc...) even if they cannot perform the action. This makes the site a little confusing.

Steps to solve:

use TAL statements to only allow those that have the permission "modify portal contents" to view the buttons.

A potential security issue: All user names are visible to all users. Not sure how big the issue is, since all UWO users are in LDAP anyway. Could be solved by not making the site map available.

Josh's table that used to come up when an internship application form was not filled in or filled in incorrectly, has stopped appearing.

The errors are still thrown, but you have to click on the view errors link, and it looks something like.......

1) Only students and the internship director should be able to see and edit the fields in the internship application.

2) Students should only be able to edit their internship if it has been denied by the supervisor or internship director.

3) Students should not be able to see or edit the reason denied by college field, other reason denied by college field, the reason denied by supervisor field, and other reason denied by supervisor field.

4) The internship director should be able to view and edit all fields when the internship is active.

5) The student should not be able to see or edit their name or e-mail field.

The deny by internship director and supervisor emails are displaying funny or not at all. This is cause by one of the fields being a list type and the other being a string type. These differences make it difficult to set up if statements so the correct information is displayed.
