Borrowing Procedure:

Borrowers should bring materials to be checked out to the Circulation Desk. University of Wisconsin System students, faculty and staff must present a current, valid university ID to check out library materials.  If you are not registered with UW-Oshkosh or the UW System, inquire at the Circulation Desk for privileges.

1) Items can be placed on hold or recalled by another patron, these statuses will block renewal .
2) Does not include Educational Media Collection (EMC) videos, video guides, DVDs or software.
3) Some UB items such as DVDs and select books check out for 14 days and are not renewable.
4) Items such as laptops are available to UW Oshkosh students only.

Renewing Library Materials:

Items may be renewed online or brought to the Circulation Desk to be renewed.   Materials that have been requested by other patrons are not renewable.

Returning Library Materials:

Items may be returned at the Circulation Desk, or they can be put in the outside library material return boxes. Outside returns are located to the right of the Main entrance and in the courtyard facing Elmwood Avenue.   All University of Wisconsin - System library items can be returned to any of the 26 University of Wisconsin-System libraries.   Please be considerate when returning fragile or oversized items.

Items NOT found on the shelves:

The circulation status of most library materials will appear in the online catalog as "not checked out" or "checked out."   If you cannot locate an item with a status of “not checked out”, you can give the title and call number to the Circulation staff and they will assist you by putting a search/hold on it for you.

If you are looking for an item that has a status of “checked out,” you may place a hold or a recall on that item or request the title through Universal Borrowing.

  • Universal Borrowing (UB) :    Request an item from another UW-System library.
  • Hold :    Request that an item currently checked out of Polk Library be held for you at the Circulation Desk when it is returned.
  • Recall :    Request that an item currently checked out of Polk Library be returned for your use. (Users are allowed to keep items for a minimum amount of time before an item can be recalled. A recall changes the due date of the item, and it must be returned.   A library block is placed if a recalled item is not returned.)

You will be notified by email when the item is available to be picked up at the Circulation Desk.   It will be held for you for ten (10) days.

Overdue Items:

  • A courtesy notice is sent prior to an item becoming overdue.
  • Two overdue notices are sent after the item becomes overdue.

A failure to receive these reminders does not constitute a valid excuse for voiding overdue processing fees.

After overdue items are returned, a statement of charges is mailed to the patron. The charges must be paid at the Circulation Desk. Please stop in or email the Circulation Department at circulation@uwosh.edu if your overdue notice is in question.

When an item reaches 28 days overdue, the item is considered "Lost" and the patron is billed for the item.

Lost Items & Fees:

When an item is 4 weeks overdue a replacement fee of $50.00 is charged for each item. Polk Library will not accept personal copies or replacement copies purchased by users as substitutes for paying the replacement charge unless approved in advance. If you wish to appeal your charges or fees, contact the Circulation Desk to learn more about the appeals process, or see the Appeals Form .

Library block
When cumulative library charges exceed $10.00, there is an automatic library block placed against your patron record. No further items may be checked out or renewed until charges are paid.

University registration block
When an item is 6 weeks overdue, a University registration block is placed on your record. This block prevents you from registering for classes, receiving your grades or getting transcripts.
 
University Invoice

A University invoice is sent at 10 weeks and must be paid in full in at Cashier's Office in order to clear your University and Library blocks.

Damaged Materials:

Users are responsible for all materials checked out on their TitanCards and should point out noticeable damage BEFORE checking out any material. Library materials that are returned damaged are subject to charges based on the cost of repairing the damaged item or on the lost item charge if the item cannot be repaired.

Mutilation of library materials is punishable under Wisconsin State Statute 943.61. The University will prosecute in cases of purposeful theft or damage.

Proxy Patron Authorization:

Polk Library permits authorized patrons to check out materials for faculty and staff members. Any faculty member who wishes to give another person the authority to use their privileges must file a Proxy Patron Authorization form. A list of proxy patrons is created in the faculty member's patron record. At the point of checkout, the Proxy Patron must present their own valid TitanCard and give the name of the faculty member for whom they wish to check out materials.

The Proxy Patron will be unable to check out materials if: faculty member has fees of $60 or more, faculty member has not returned recalled materials, proxy patron does not have a valid TitanCard, Proxy Patron Authorization Form has not been filed for that patron, or the proxy patron has over $10 in fees (or $60 if they are a faculty member).

Video Bookings:

Faculty, students and staff may book videos/DVDs owned by Polk Library to pick up on a specific date for use in a presentation or classroom instruction.

The library encourages patrons to submit requests at least 2 weeks before the video/DVD is needed.

To book videos/DVDs, fill out the online Video Booking Form and submit.
