   Distribution Policies & Procedures

This document is to inform you of the policies and operating procedures of the copy system. By knowing what Document Services can and cannot do, you are better able to make efficient use of the system.

The aim is to offer the services you need, quickly and economically. To that end we strive to continually study services and make production changes.

Policies & Procedures

ALL duplicating and related equipment in Document Services is State property and may be used only for the production of materials related to university programs, services and purposes. NO PRIVATE WORK MAY BE DONE FOR INDIVIDUALS, REGARDLESS OF WHETHER OR NOT THEY ARE MEMBERS OF THE UNIVERSITY COMMUNITY.

I. Turnaround Time

  1. On the bottom of every Printing Work Order you must provide the date and time when you need your work completed. 
    1. Allow a 24-hour turnaround time. (We must be notified one week in advance of documents which are over 4000 impressions)
    2. Any Printing Work Orders sent through the intercampus mail should not be expected to be mailed back the same day. 
    3. We have a 2-hour turnaround time of 1,000 impressions or less.

(This is for time dated materials only, and must be hand delivered).

II. Copy Preparation

  1. All documents must be sent to us in ready to copy form.
  1. Send loose sheets on 81/2 X 11", 81/2 X 14" or 11 X 17" ONLY !
  2. (Onion Paper will not be accepted)

  3. DO NOT send stapled materials.
  4. DO NOT send bond books.

           4.   DO NOT send taped or glued originals.

  b. Copy quality in duplication.

  1. Colored originals are difficult to duplicate on our high-speed copiers.
  2. If you are supplying us with originals with colored printing, please note this on the bottom of the printing work order. 
  3. If your originals have light gray half-tones, please write BLUE TEXT on the bottom of the printing work order. 

III. Finished copies

  1. Errors found when you receive your finished copies.
    1. If you feel that your job was not properly duplicated, you MUST return the originals, printing work order and ALL the copies to Document Services. 

We will then discuss and decide how the job was run, and how we may rectify the situation.

    1. When submitting originals which you want run Back to Back, you MUST write on the printing work order that you want it run Top to Top, or Bottom to Top. (Otherwise your originals will be run the way they come into our department. Please note that the originals will come out top to bottom if we receive them top to top, on landscape originals. This is how the machine runs it.
      If you want certain pages run back- to-back and others single-sided, you must attach post-it notes to these documents, notifying us about these exceptions. (If your originals are already back to back, you must note this on the printing work order.)
    2. Please remember that even though you know how you want something run, we cannot read minds. Therefore, we will run the originals the way they come into this department, unless specific instructions are on the printing work order.
